MerchantFlow Profile Settings Guide
MerchantFlow profile settings let you manage your personal information, display preferences, notification configuration, and privacy controls within your e-commerce analytics workspace. All settings are accessible from the dashboard settings panel.

How to Access Profile Settings
From the Dashboard
- Click your profile icon in the top right corner
- Select "Settings" from the dropdown menu
- Choose the relevant tab:
- Profile - Personal information
- Preferences - Regional and notification settings
- Security - Password and security options
- Notifications - Email and in-app alerts

Personal Information
How to Edit Your Name
- Go to Settings > Profile
- Click "Edit" next to your name
- Update First Name and Last Name
- Click "Save Changes"
Where Your Name Appears:
- Dashboard welcome message
- Team member lists
- Email notifications
- Shared reports and exports
How to Update Your Email Address
- Go to Settings > Profile
- Click "Change Email"
- Enter your new email address
- Enter your current password (for verification)
- Click "Update Email"
Verification Required:
- Confirmation email sent to new address
- Click verification link within 24 hours
- Old email receives security notification
- Login uses new email immediately after verification
Important Notes:
- Use this email for password resets
- All notifications go to this address
- Cannot use email already in use by another account
- Invoices will be sent to new address
How to Change Your Profile Picture
- Go to Settings > Profile
- Click on your current profile picture
- Choose "Upload New Photo"
- Select image file (JPG, PNG, GIF)
- Crop/adjust as needed
- Click "Save"
Requirements:
- Maximum file size: 5 MB
- Recommended: Square image, at least 200x200 pixels
- Supported formats: JPG, PNG, GIF
- Will be displayed as circular avatar
To Remove Profile Picture:
- Click "Remove Photo"
- Default initials avatar will be used
Company and Store Information
- Go to Settings > Profile
- Scroll to "Business Information"
- Update:
- Company Name - Your business name
- Store URL - Your e-commerce site
- Click "Save Changes"
Account Preferences
Regional Settings
Time Zone
- Go to Settings > Preferences
- Select "Time Zone"
- Choose your time zone from dropdown
- Click "Save"
Affects:
- Dashboard timestamp displays
- Scheduled report times
- Sync schedule times
- Email notification times
Default: Automatically detected from browser
Date Format
Choose how dates appear:
- US Format: MM/DD/YYYY (e.g., 12/26/2025)
- International: DD/MM/YYYY (e.g., 26/12/2025)
- ISO 8601: YYYY-MM-DD (e.g., 2025-12-26)
Changes:
- Go to Settings > Preferences > Regional
- Select "Date Format"
- Click "Save"
Currency Display
- Go to Settings > Preferences > Regional
- Select "Currency"
- Choose your preferred currency symbol
- Select "Thousand Separator" (comma, space, or period)
- Click "Save"
Options:
- USD ($) - United States Dollar
- EUR - Euro
- GBP - British Pound
- CAD ($) - Canadian Dollar
- AUD ($) - Australian Dollar
- And 150+ more currencies
Note: This only affects display. Analytics data remains in original currency from your store.
Number Format
- Comma separator: 1,000,000
- Space separator: 1 000 000
- Period separator: 1.000.000
Language
MerchantFlow is currently available in English only. Additional language support is planned for a future release.
Security Settings
How to Change Your Password
- Go to Settings > Security
- Click "Change Password"
- Enter Current Password
- Enter New Password
- Confirm New Password
- Click "Update Password"
Requirements:
- Minimum 8 characters
- At least one uppercase letter
- At least one lowercase letter
- At least one number
- At least one special character
How to Manage Active Sessions
View and manage devices currently logged into your account:
- Go to Settings > Security > Sessions
- See list of active sessions:
- Device type (Desktop, Mobile)
- Browser
- Location (approximate)
- Last active time
- IP address
Manage Sessions:
- Current Session: Marked with "This device"
- Sign Out Others: Logs out all other sessions
- Sign Out Specific: Click "x" next to individual session
Security Tip: Regularly review active sessions and sign out unfamiliar devices.
Login History
View recent login activity:
- Go to Settings > Security > Login History
- See last 30 logins:
- Date and time
- Device and browser
- Location
- Success/failure status
Red Flags:
- Logins from unfamiliar locations
- Failed login attempts
- Unusual times (middle of night)
If Suspicious:
- Change password immediately
- Sign out all other sessions
- Contact support: [email protected]
Two-Factor Authentication (2FA)
MerchantFlow supports authenticator-app 2FA.
Current behavior:
- Direct real-data onboarding requires 2FA setup
- Invited users are sent through 2FA setup after accepting the invite
- Sign-in uses
/verify-2fawhen 2FA is enabled - Backup codes are provided during setup and should be stored safely
Display Settings
Dashboard Theme
- Go to Settings > Display
- Select "Theme":
- Light Mode - Bright, traditional interface
- Dark Mode - Reduced eye strain, better for low light
- Auto - Matches system preferences
- Click "Save"

- Reduced eye strain
- Better for nighttime use
- Saves battery on OLED screens
- Modern aesthetic
Notification Settings
Email Notifications
- Go to Settings > Notifications
- Toggle email notifications for:
- Sync Completed - Data refresh finished
- Sync Failed - Sync encountered errors
- Weekly Summary - Performance overview
- Product Alerts - Significant changes
- Team Activity - Member actions
- Billing Updates - Payment and invoices
- Feature Updates - New features
- Tips & Best Practices - Educational content
- Click "Save Preferences"
Frequency Options:
- Real-time (as they happen)
- Daily digest (once per day)
- Weekly digest (Monday mornings)
- Never (unsubscribe from category)
In-App Notifications
- Go to Settings > Notifications
- Toggle in-app notifications for:
- Sync status updates
- Team mentions
- Product alerts
- System messages
- Choose notification sound (optional)
- Click "Save"
Viewing Notifications:
- Bell icon in top navigation
- Red badge shows unread count
- Click to view notification center
Notification Delivery
Email Notification Settings:
- Sent to your primary email address
- Plain text option available
- Unsubscribe links included
- Never mark as spam (add to contacts)
Desktop Notifications:
- Browser must allow notifications
- Permission requested on first visit
- Can be enabled in browser settings
- Shows even when tab is not active
Privacy Settings
Data Sharing
- Go to Settings > Privacy
- Control what data is shared:
- Usage Analytics - Help improve MerchantFlow
- Error Reporting - Anonymous crash reports
- Product Insights - Share aggregated trends
- Click "Save Preferences"
What is Shared (If Enabled):
- Anonymous usage patterns
- Feature usage statistics
- Performance metrics
- Error logs (anonymized)
Never Shared:
- Your actual business data
- Revenue numbers
- Customer information
- Product details
- Personal information
Third-Party Integrations
View and manage connected services:
- Go to Settings > Privacy > Integrations
- See all connected accounts:
- Google Analytics
- Shopify/WooCommerce
- Advertising platforms
- Review permissions for each
- Disconnect integrations you no longer use
Data Export
- Go to Settings > Privacy
- Click "Request Data Export"
- Choose data to include:
- Profile information
- Product data
- Analytics snapshots
- Sync history
- All data (complete export)
- Click "Generate Export"
Export Details:
- Delivered via email within 24 hours
- Available as CSV and JSON
- Download link valid for 7 days
- Can request once per week
Account Deletion
- Go to Settings > Privacy
- Scroll to "Delete Account"
- Read warnings carefully
- Click "Request Account Deletion"
- Confirm via email link
- Account deleted within 48 hours
What Happens:
- All your data is permanently deleted
- Active subscription is canceled
- No refunds for partial billing periods
- Cannot be undone

Troubleshooting Profile Settings
Settings Not Saving
If your changes are not saving:
- Check Browser Console for errors
- Disable browser extensions temporarily
- Clear cache and cookies
- Try different browser
- Check internet connection

Changes Not Appearing
Some changes require:
- Page refresh - Reload the dashboard
- Re-login - Sign out and back in
- Cache clear - Clear browser cache
- Time - Allow up to 5 minutes
Lost Customizations
If your settings reset unexpectedly:
- Check if you are logged into correct account
- Verify not using incognito/private mode
- Check if browser is clearing data on exit
- Contact support to restore from backup

How do I change my MerchantFlow email address?
Go to Settings > Profile, click "Change Email", enter the new address and your current password, then verify through the confirmation email sent to your new address.
Can I use dark mode in MerchantFlow?
Yes. Go to Settings > Display, select "Theme", and choose Dark Mode or Auto to match your system preferences.
How do I export my MerchantFlow data?
