MerchantFlow General Settings Guide

Every setting on the MerchantFlow General settings page explained: profile info, dashboard currency, store timezone, language, financial preferences, security, and account deletion.

General Settings

The General settings page is the home for your workspace's core configuration: your profile details, dashboard currency, store timezone, display language, the five Financial Preferences that shape profit calculations, and account security. This guide walks through every setting on the page, what it changes, and what to watch out for.

How to Access Settings

  1. Click your profile icon in the top right corner of the dashboard
  2. Select Settings from the dropdown menu

Or navigate directly to /dashboard/settings. The General tab opens by default.

Settings Tabs at a Glance

The Settings area is organized into tabs. Which tabs you see depends on your workspace type - agency workspaces hide the merchant-specific tabs:

Profile Information

The first card on the General tab holds your identity details:

  • Email Address - Shown read-only. Your email cannot be changed from the dashboard; contact [email protected] if you need to update it.
  • Store Name (or Agency Name on agency workspaces) - The workspace name that appears in your dashboard sidebar and on generated reports.
  • First Name and Last Name - Used in the dashboard greeting and email salutations.

Edit any of these fields and click Save Changes. The same button also saves the Currency and Timezone preferences below it.

Dashboard Currency

Dashboard Currency sets the currency in which all financial data and reports are displayed - revenue, profit, COGS, ad spend, every money figure in the dashboard and in generated reports.

  • Choose from the searchable currency picker (popular currencies are listed first, followed by the full ISO currency list)
  • The default is USD
  • Click Save Changes to apply

Notes:

  • This is a workspace-wide setting - every team member sees the same currency.
  • Agency workspaces do not have this setting; each client workspace keeps its own currency.
  • Currency and language are independent. Switching your language to French does not change your currency - a French-speaking operator running an AUD store still sees A$ prices with French number formatting (1 234,56). See the Language section below.

Store Timezone

Store Timezone anchors every date boundary in your analytics: what counts as "today," where a day starts and ends in P&L reports, and how time range filters resolve.

  • Choose your timezone from the list (each entry shows its current UTC offset)
  • The default is UTC
  • Click Save Changes to apply

Timezone is locked after your first data sync. Because P&L snapshots and coverage data are computed against your timezone, changing it after data has synced would create inconsistencies in historical reports. The selector becomes read-only once your first sync completes. If you genuinely need to change it, contact [email protected] - a support-side change triggers a full data resync.

Set your timezone correctly before connecting your store. It should match the timezone your business operates in (usually the same one your commerce platform uses).

Language

MerchantFlow is available in English, Nederlands (Dutch), Français (French), and Deutsch (German). Your selected language applies to the dashboard, transactional emails, and Flow AI assistant responses.

To change your language, click your preferred language in the Language card. The choice saves immediately - there is no separate save button - and the dashboard reloads in the new language.

Notes:

  • Language is a per-user preference, stored on your user profile and following you across devices. Each team member can pick their own language independently.
  • New team members default to the workspace's default language until they pick their own.
  • Language and currency are independent in MerchantFlow. Switching to French does not change your dashboard currency.
  • When a MerchantFlow administrator is impersonating your account for support, the dashboard renders in English regardless of your language preference. This is intentional and ensures admins can audit any tenant in a consistent language.

Financial Preferences

The Financial Preferences section controls how MerchantFlow calculates profit. It contains five settings, each with its own save button:

These settings change the profit numbers shown across the entire dashboard, and two of them (Sales Tax Treatment and Country fulfilment rates) trigger a recalculation of historical data when changed. Read the dedicated Financial Preferences guide before changing them.

Security

Change Password

  1. Scroll to the Change Password card
  2. Enter your Current Password
  3. Enter a New Password (at least 8 characters)
  4. Confirm the new password
  5. Click Update Password

Forgot your current password? Use the password reset flow instead.

Two-Factor Authentication and Backup Codes

MerchantFlow accounts are protected with TOTP-based two-factor authentication via an authenticator app - see the Account Security guide for how 2FA setup works.

From the Backup Codes section you can regenerate your backup codes:

  1. Enter your password in the Confirm Password field
  2. Click Regenerate
  3. Copy the new codes and store them somewhere safe (a password manager is ideal)

Regenerating invalidates all previous backup codes. Any codes you saved earlier stop working the moment new ones are generated.

Backup codes let you sign in if you lose access to your authenticator app.

Danger Zone: Delete Account

At the bottom of the General tab is the Delete Account card. Deleting your account permanently removes your MerchantFlow workspace - all synced products, analytics data, and integrations on merchant workspaces; all client connections and team data on agency workspaces. This cannot be undone.

To delete your account:

  1. Click Delete Account
  2. Read the confirmation warning
  3. Type DELETE in the confirmation field
  4. Click Confirm Delete

Before you delete:

  • Export any data you want to keep - reports and CSV exports stop being available after deletion
  • Cancel or note your subscription status; deletion ends access immediately
  • If you only want to stop being billed, cancelling your subscription keeps your data and is reversible - deletion is not

Troubleshooting

My changes are not saving

  1. Check that required fields are filled (Store Name cannot be empty)
  2. Refresh the page and try again
  3. Try a different browser or disable extensions temporarily
  4. Still stuck? Contact [email protected]

The timezone selector is disabled

Your workspace has completed its first data sync, which locks the timezone to protect historical data consistency. Contact [email protected] if you need it changed - support can change it and trigger a full resync.

I do not see the Currency setting

Agency and partner workspaces do not have a workspace currency - currency is configured per client workspace. Open the client's own settings to change theirs.

The Country fulfilment rates card is missing

It only appears when your fulfillment method is per-product and no 3PL is connected. See the Financial Preferences guide.

Frequently Asked Questions

How do I change my MerchantFlow email address?

Email addresses cannot be changed from the dashboard. Contact [email protected] and the team will update it for you.

Can I use a different currency from my store's currency?

Dashboard Currency controls how figures are displayed. It should normally match the currency your store operates in - it is a display preference, not a currency conversion.

Why can I not change my timezone?

Timezone locks after your first data sync because P&L data is computed against it. Support can change it for you, which triggers a full resync of your data.

Does changing my language affect my teammates?

No. Language is a per-user preference - every team member picks their own.

What happens when I delete my MerchantFlow account?

All workspace data is permanently deleted and any active subscription ends. Deletion cannot be undone, and no refunds are issued for partial billing periods.
