White-Label Branding - Brand Your Reports and PDFs

Put your agency logo, brand colour, and contact details on MerchantFlow report PDFs, and override branding per client so each one carries its own identity.

White-Label Branding

White-label branding replaces MerchantFlow's identity on report PDFs with your own -- your logo, your brand colour, your contact details. A report you send to a client or an investor looks like it came from you.

Set it up at Dashboard → Settings → Branding. On an agency account the page is linked as Branding from the dashboard footer, and a Set up now banner on the portfolio prompts you until an agency type and a logo are both on file. Dismissing that banner snoozes it for seven days rather than hiding it for good.

Availability

Branding is an agency feature, and two conditions apply:

  1. Account type -- the workspace must be an agency or partner account. The Branding footer link only appears on those, and a merchant account that reaches the page directly sees an Agency accounts only panel -- "Branding settings are available for agency and partner accounts. Your account is set up as a merchant." -- with a Back to Settings link.
  2. Plan -- the whiteLabelExports feature, which is on Plus only. A paid agency on the flat agency plan has it while its own subscription is active, trialing, or comped.

The feature is also available during a Stripe trial, since trials run with the Plus feature set -- see trial period.

A plain merchant on Plus does not get their own branding controls. What a merchant does get is their managing agency's branding on their own report PDFs, applied automatically when that agency has white-label access and a logo or colour set.

Choosing Other as your agency type reveals a Describe your agency type field.

A live Report Preview sits beside the form and updates as you type, so you can check a logo's contrast against your chosen colour without generating a report. Nothing is stored until you press Save Changes.

Where branding appears

Branding is resolved at export time and flows through to:

  • PDF exports of reports -- agency-wide, client-scoped, and cross-client
  • Scheduled report deliveries, which resolve the same branding per run
  • Daily email summaries sent to a merchant managed by a branded agency

It does not change the MerchantFlow interface itself. This is about what leaves the product, not what you look at inside it.

Per-client branding (agencies)

Agencies can go a step further and set branding per client, overriding the agency-wide defaults for that client only. Each client's reports can carry:

  • Their own logo
  • Their own brand colour
  • Their own company name
  • Their own website, phone, and address

This is the difference between "every report looks like my agency" and "every report looks like the client it is for". Both are legitimate -- an agency selling its own reporting service wants the former; an agency producing board packs on a client's behalf wants the latter.

Client branding lives on the Branding tab of the client's own record -- Dashboard → Clients → [client] → Branding, alongside that client's Reports and Schedule tabs. The tab is gated on the same Plus whiteLabelExports feature.

The per-client fields are Company name, Logo, Brand colour, Website, Phone, and Footer address. Each is an override, and any field you leave empty falls back to your agency-wide setting -- so you can give a client its own logo while keeping your agency's colour. Reset to agency branding clears the override entirely and returns the client to your agency defaults.

Per-client branding can only be set for clients actually connected to your agency; a revoked or unconnected client is refused.

  • Use PNG, JPEG, or SVG. Any other file type is rejected the moment you pick it.
  • Keep the file under roughly 400 KB. The upload box says 500 KB, but the server rejects anything larger than about 400 KB with "Logo must be under 400KB" -- so a file between the two passes the picker and then fails on save. Aim under 400 KB and the question never comes up.
  • Upload the version of your logo that reads on a light background -- reports and PDFs are light.
  • A wordmark usually works better than an icon, since the logo replaces a company name rather than sitting next to one.
  • Check the preview against your brand colour before saving; a dark logo on a dark accent is the common mistake.

Common questions

Does white-label branding remove every mention of MerchantFlow? It replaces the branding on exports with yours. It is a presentation layer, not a resale licence -- check your terms of service for what you may represent to clients.

Who can change branding? Any workspace member can view branding, since it contains no client data. Changing it is restricted to owners and admins.

Do clients see the branding in the app, or only in reports? Branding applies to reports and exports. See agency workspace for what clients can see directly.

What happens if I downgrade from Plus? Branding settings are retained but stop being applied to new exports. Re-upgrading restores them.
